These triggers work with the new Events functionality in the Learning Platform (LXP).
Setting up an automated event workflow is straightforward. When you navigate to the 'Create workflow' page within Automation, you will find the new triggers available in the dropdown menu.
Simply select the event trigger you wish to use, and then configure the subsequent actions.
For example, you could set up a workflow where the “Users signs up to an event schedule” trigger automatically sends an email to their manager and then updates a third-party workforce management system to record that the learner is not available at those times.
Available triggers
- Users signs up to an event schedule: Triggers when a learner signs up for a schedule. This is perfect for sending automated booking confirmations and calendar invites.
- User's signup to an event schedule is updated: Triggers when a learner joins or leaves a waitlist, or is moved from the waitlist to a confirmed booking. Use this to keep learners informed about their waitlist status.
- User's signup to an event schedule is cancelled: Triggers when a learner cancels their booking, or an admin cancels it on their behalf. This can be used to send a cancellation confirmation email to the learner.
- A session has been updated by an Admin: Triggers when an admin changes a session’s details, such as the date, time, or location. This can be used to send updated information to all enrolled learners to ensure they have the latest session details.
- A session has been cancelled by an Admin: Triggers when an administrator cancels an entire session. This action could be used to notify all learners booked on the schedule that the session belongs to.
We plan on adding new triggers as soon as possible e.g. 'User is marked as attended a session'.
Important Note on Notifications
Please be aware that the platform's standard, built-in notifications for Events cannot be disabled at this time. This means if you create an Automation workflow that also sends a notification (e.g., a booking confirmation email), learners will receive duplicate messages.
To avoid this, we strongly recommend you do not use these new triggers for basic event notifications for now. Instead, we encourage you to explore other more powerful use cases available, such as:
- Personalised Learning: Automatically enrol a user into a new playlist or learning experience once they sign up for an event.
- User Management: Add users to a specific group based on the event they have registered for.
- Third-Party Integrations: Send event registration or attendance data to an external system, like your HR platform.
