Summary: Open the dynamic rules section of a group to set up criteria learners must meet to be automatically added to the group.
Dynamic rules automatically add people to groups when they meet certain criteria.
You can find dynamic rules by going to any group and clicking Dynamic Rules in the sidebar.
Settings
The settings decide how users should be added or removed in relation to the rule sets. You need at least one of these boxes to be ticked for the dynamic rules to do anything.
Make a user a member when they meet Rule Sets criteria: This makes sure the dynamic rules are constantly checking whether learners meet the criteria of the rule sets and adds them to the group when they do.
Remove a user’s membership when they no longer meet the Rule Sets criteria: This makes sure the dynamic rules are constantly checking whether learners meet the criteria of the rule sets and removes them from the group if they no longer do.
Adding rules
Click START ADDING RULE SETS.
Rules are individual criteria. They can be combined into rule sets, which contain multiple criteria for being added to a group. E.g. a rule may say that a learner has to have completed the first aid LX to be added to the "Qualified First Aiders" groups. A rule set with multiple rules may say that a learner has to have completed the first aid LX and have completed the office health and safety LX to be added to the group.
- Rule setting between every Rules Set: This dictates the relationship between multiple rule sets. If set to AND, learners will have to meet the criteria of all rule sets in order to be added to the group. If set to OR, learners will only have to meet the criteria of one rule set to be added to the group.
- ADD RULE SET: Click here to add a new rule set.
- Rule setting between each rule in this Rule Set: This dictates the relationship between multiple rules within a single rule set. If set to AND, learners will have to meet the criteria of all rules in order to have met the overall criteria of the rule set. If set to OR, learners will only have to meet the criteria of one rule to have met the overall.
- ADD RULE: Click here to add a rule.
To add a rule, select the criteria you want to base it on. There are many different criteria that pull in information from different parts of the LXP. They each come with different, self-explanatory filters. When you're happy with your rule, click SAVE.
Publishing rule sets
There are always two rulesets available: your published rule set and your draft rule set. The published one will add and remove users based on the criteria you’ve set, whereas you can edit the draft at any time without effecting who is / isn’t in your group.
When you click PUBLISH RULES in the draft section, it overwrites the published section. The rules will be processed immediately and the draft will replace any existing published rules.
