The multiple job assignments functionality allows you to capture user who may hold more that one job role within their organization. Please note this functionality is not enabled by default. However if this functionality is available to you then reach out to your CSM to discuss further.
Benefits of the using Job Assignments
It will allow you to:
- Link a staff member to multiple managers.
- Specify which manager should approve a seminar attendance.
- Specify which manager should complete an appraisal form.
- Generate custom reporting based on job assignment(s).
- Filter custom reporting based on the viewer's job assignment.
- Create dynamic audiences based on a user's job assignment(s).
What to consider when setting up Multiple Job Assignments
Enabling multiple job assignments will change how certain functionality works for all users on the site. Please ensure you have a full understand how this will display for your users and how it will change how they currently use the site. It is also recommended that you understand the risks of disabling the feature if required at a different date.
Areas that change for your users:
Seminar Events:
For seminar events that require manager approval a user will be asked to select their job assignment and associated manager. This is to ensure that the correct manager is sent the booking notification for approval.
The Site Manager (or a user with the assigned permissions) must first configure an event to allow the above setting. To do this go to Site Administration > Seminar > Seminar Global Settings. Then ensure 'Select job assignment on signup' is selected.
Appraisals:
When a user with multiple job assignments is assigned to an appraisal they will be required to select the job assignment linked to the appraisal before beginning. This will ensure the correct manager or appraiser is provided access to the appraisal form.
Reports:
Within reports there is a Content tab which allow a Site Manager (or a user with the assigned permissions) to configure a report to display data for users who have multiple job assignments. To find out more information on reports visit the guides here.
