What is a Demographic File?
A demographic file (previously referred to as a “Segmentation File”) has the demographic data for all users who completed the course.
Please note, unless the Adaptive Content course in question included Role-Based Learning (branching) features, this data is not available from Learning Pool.
Your file must:
• Be in .XLSX format
• Contain a column labeled “User ID”
Pt. 1: Adding a Demographic File and viewing your uploaded filters
You can generate reports for any subset of users by applying a Filter. To use this feature, ensure that “User ID(s)” is set to “All” before proceeding.
Step 1: Uploading a Demographic File
From the IQ Analytics dashboard, click the “+ Add Demographic File” button.
- In the “+ Add Demographic File” pop-up window, either:
- Drag and drop your file into the designated area, or
- Click inside the dashed box to manually select a file.
- Click Submit to proceed.
Step 2: Mapping User ID Columns
- In the “Select User ID Column” pop-up window, use the dropdown menu to specify where the User ID values are located in your file.
- Click Submit to confirm.
Important Note on Data Anonymization: Upon upload, your data is automatically anonymized. This means that only the person who uploaded the .XLSX file can view the filter values.
If another user needs access to these filters, you must provide them with a mapping file. This file allows them to unlock the data, making it visible instead of anonymized.

Step 3: Confirming the Upload
- After submission, a confirmation message will appear. Click OK to close it.
Step 4: Applying Filters in IQ Analytics
- Your uploaded filters will now be available in IQ Analytics.
- Open any IQ Analytics dashboard and access the Filters Panel.
- Under New Filter, use the Attribute dropdown menu to locate and apply your filters.
Your filters are now successfully uploaded and ready to use.
Pt. 2: Enable an additional user to view the uploaded filters
When a demographic file is uploaded, the data is automatically anonymized. As a result, additional users from the same organization must apply a mapping file to view the data in its original form. Without this file, users will only see anonymized data in the filter. They will also receive a notification indicating that a demographic file has been uploaded, allowing them to contact the uploader to request access to the mapping file.
How to Provide a Mapping File
The original uploader of the demographic file is responsible for generating and sharing the mapping file with any additional users who require access to the demographic filters.
Steps for the Original Uploader
- Navigate to the IQ Analytics Dashboard.
- Click the ellipsis menu icon (⋮) in the top right corner.
- A pop-up window will appear with instructions. Click “Download Mapping File.” The download will start automatically.
How Additional Users Apply the Mapping File
Once the additional user receives the mapping file, they must follow these steps:
- Log in to IQ Analytics.
- Navigate to the IQ Analytics Dashboard and click the ellipsis menu icon (⋮) in the top right corner.
- Select “Apply Mapping File.
- In the pop-up window, drag and drop the mapping file into the designated area or click to manually upload it.
- Click Submit.
- A validation message will confirm that the file has been successfully mapped.
Viewing the Unlocked Data
After successfully applying the mapping file, the additional user can navigate to any IQ Analytics dashboard and view the uploaded filters. These filters will now appear as readable text instead of the anonymized version.
This process ensures that only authorized users can access the demographic data while maintaining data privacy and security.
Filtering Pt. 3: Adding a Deanonymized Demographic File
By default, we recommend anonymizing any data uploaded for use as a custom filter. This approach ensures you maintain control over who can access your data. However, if you prefer to deanonymize the data, you can configure this setting accordingly.
When deanonymization is enabled, the uploaded data will be visible to all users viewing the dashboards without anonymization.
Steps to Upload a Deanonymized Demographic File
- Navigate to the IQ Analytics Dashboard and click the “+ Add Demographic File” button.
- In the “+ Add Demographic File” pop-up, either:
- Drag and drop your file into the designated area, or
- Click within the dashed box to manually select a file.
- Click Submit to proceed.
Configuring Deanonymization Settings
- In the “Select User ID Column” pop-up, use the dropdown menu to specify the column where User ID values are located in your file.
- Click Submit to confirm.
- Expand the "Advanced Options" dropdown.
- Toggle off the “Anonymize Demographic Data” option.
- Click Submit to finalize the upload.
Once completed, the demographic data will be automatically visible to all users accessing the dashboards, without anonymization.
