Introduction
We know that individual assignment of capabilities can create an administrative burden. The Bulk/Automatic Assignment of Capabilities to Job Roles feature addresses this by allowing admins to efficiently assign a Capability to one or multiple specific job roles within the platform. This ensures that any learner who holds the specified job role(s) will automatically be assigned the selected Capability and its associated skills.
This update significantly speeds up the assignment process and offers more granularity than the existing 'bulk assign by department' option.
How it works
Admins can perform this assignment directly in the Skills user interface. Please note the following:
You will need to know the specific Job Role ID(s) you wish to assign the capability to.
These IDs are found in the Learning Platform (LXP) admin area.
The admin will need the permission to view Job Roles in the LXP to retrieve the IDs mentioned above.
Assignment Process
Navigate to the 'Capabilities' page.
Find the capability you wish to assign and click the ellipses menu icon beside its name.
Select the new option: 'Bulk assign by job role'.
A dialogue box will appear. You will need to get the Job Role ID from the LXP.
To find the ID, go to the LXP admin side, edit a user who has the target job role, and select Job Roles from the left menu.
Click Edit against the role and copy the Role ID.
Paste this Role ID back into the 'Bulk assign' dialogue in Skills Builder and press Enter.
You can add multiple Role IDs by pressing Enter after each one.
Click Assign and confirm the action.
A notification will confirm the capability has been assigned to all existing employees within the selected job role(s).
FAQs
Q: Is this feature automatically available?
A: Yes, it is now available within the Skills Builder admin user-interface in the platform.
Q: Can I assign multiple job roles to the same capability?
A: Yes, you can assign multiple job roles to each capability. You can also do this in one go by adding all the desired job role IDs in the bulk assignment dialogue box described above.
Q: What happens if a new user is added to a job role?
A: The bulk assignment assigns the capability to current users only in that role. Any new users added with a job role will not automatically have that capability assigned to them, and the assignment process will need to be repeated.
Q: What happens if a user's job role changes?
A: No. The assignment is not dynamic. If a user moves roles, their capabilities will not be automatically added or removed and would require a manual adjustment.
Q: Does this link to user provisioning?
A: No. This is an entirely separate process from user provisioning and cannot link to User IDs, reference codes, or any other custom identifiers to automatically map capabilities.
