Overview
Approval based enrolment is a new enrolment type that can be enabled at learning experience level. When learners navigate to this learning experience, they will be greeted with a message advising them to request approval from their line manager.
How it works
There are a few prerequisites that need to be addressed before you can enable the new enrolment type.
- 'My Team' function must be enabled
- Job Roles must be enabled
If you require these options to be enabled on your platform, please contact our Support team, who can assist.
Once these features have been enabled, configuring the new enrolment option is straight forward;
- Navigate to a learning experience, click on settings -> Display options -> Require Manager Approval -> Save changes
- Note that you can only have either self enrolment or manager approval enabled at one time, not both. When one option is enabled, the other will become unavailable
- Once this has been enabled, a learner can navigate to that learning experience and be met with the following page
- The learner requests access, which sends a notification to the manager to approve.
- The manager can click on the notification to be taken to their approval report. From here they can manage all the outstanding requests
- Once a request has been approved, the learner will be enrolled onto the learning experience
- If the manager rejects the request, they can also leave a rejection reason that will be included in the notification that is sent to the learner, and they will not gain access and need to request again
Notifications
There are a few notification types associated with approval based enrolment. Learners and managers each receive their own types, and they are delivered in the form of in-platform notifications and emails. They are as follows;
Learner
- Enrolment Approved: The manager has approved the request for enrolment
- Enrolment Rejected: The manager has rejected the request for enrolment. This notification will also include the rejection reason if the manager has left one
Manager
- Approval Request: The learner has requested access to a learning experience
Other Notes
- Managers cannot revoke an enrolment once approved
- There are currently no bulk actions available to manage requests. These must be handled manually
- All notifications contain links/redirects to the designated areas they are associated with, such as the learning experience in question or the requests table in the 'My Team' area.
