Prerequisites: To use the My Team page you will need to have set up job roles and specified managers in job role fields or, if you're using user provisioning, to have included the fields labeled with the "My Team" type in your CSV. Click here to read more about user provisioning. Some features of the LXP aren’t enabled by default. If you can’t access this feature, talk to your account manager at Learning Pool.
Summary: View your team's completions and sign-off their work from the My Team page.
The My Team page is the place for managers to keep up to date with what their learners are doing and to sign-off on their work. To open the My Team page, you need to click on your profile picture and select My Team. If you have not set up job-role fields, or if you aren’t managing anyone, this page won’t be available to you.
Reports
Due to recurring learning experience enrolments, commonly used for certification and mandatory compliance learning, the 'Compliance Overview' and 'Mandatory Report' use the concept of 'attempts' which are recorded every time a learner completes an enrolment. So a learner may have multiple attempts for the same learning experience e.g. 1 per year for the last 3 years.
Attempts can also have a 'Valid until date' which is calculated based on the 'Expiry Method' used when configuring the learning experience.
The compliance status of a learner is calculated based on a combination of the completed attempt and valid until date.
Compliance Overview
This report shows the compliance status of each team member based on all of their mandatory enrolments.
When enabled, the My Team landing page displays a compliance overview with three tiles. Each tile can be clicked to filter the Compliance Overview report.
- Total team members
- Non-compliant members
- Compliant members
'Non-compliant' team members:
- Team members with a completed attempt expiry date in the past OR an enrollment without a completion date
'Compliant' team members:
- Team members that have zero mandatory enrolments OR all of their mandatory enrollments have a completion date and every completion has a 'Valid until' that is null or greater than today
A report showing a row per user is displayed below the metrics. This report can be filtered by clicking on each of the tiles. For example, selecting the 'Non-compliant' tile will filter the report to only show non-compliant team members.
Mandatory report
The Mandatory report displays all learning experiences that are marked as ‘Mandatory’ for each of the team members.
This report enables managers to quickly assess team compliance, track important dates, and take necessary actions for mandatory learning experiences.
The report can be filtered based on:
- Learners Name
- First Name
- Last Name
- Learning Experience Name
- Status
- Compliant
- Non-Compliant
This handy table outlines the various compliance statuses that will be displayed on the various mandatory reports next to a learner’s record based on several factors such as;
- An expired completed attempt and active enrolment
- An expired completed attempt and expired enrolment
- An active completed attempt and active enrolment
- An active completed attempt and expired enrolment
- No completed attempt and active enrolment
- No completed attempt and expired enrolment
| 'Valid until' date of learner's last completed attempt | Most recent enrolment | Compliance status |
| In the past | Complete | Non Compliant |
| In the past | Incomplete | Non Compliant |
| In the future | Complete | Compliant |
| In the future | Incomplete | Compliant |
| No 'valid until' date set | Complete | Compliant |
| No 'valid until' date set | Incomplete | Non Compliant |
Summary report
The summary report will display a list of all your team members along with stats about how they’re progressing through the content in the LXP.
- You can click on the name of one of your team members to see a page that contains statistics specific to that person.
- Click on the number in the 'Team Members' column to get a summary and detailed reports for that team member's team.
- Click on Filters to bring up a few different filters that you can apply to sort through your reports.
- Click on the numbers in the 'In Progress' and 'Completed' columns to see a list of the learning experiences that are in progress or completed.
Progress report
The progress report contains a list of all the learning experiences (LXs) that your team members have been enrolled on or have attempted but have not yet completed. It also contains details of any due dates so that you can monitor their deadlines. Like the summary report, the progress report can be filtered and exported as a CSV. The Actions column offers a button for each learner/LX row that opens a slide-out panel where the manager can expand each level in the LX and see each learning object it contains. Each learning object provides details of whether or not the learner has met the completion requirements of that object and if so, when.
Completion report
The completion report contains a list of all the learning experiences (LXs) that your team members have completed and states whether the completion is still valid. A completion may be invalid if it has expired based on the learning experience’s Attempt Options (see the Learning Experiences guide for more information). They can also be filtered and exported as a CSV. Finally, the Actions column contains a button for each learner/LX row that will open a slide panel where the manager can expand each level in the LX and see each learning object it contains, as well as the date each object was completed.
If you click the number in the Attempts column, a slide out menu opens and displays the learner's attempt history.
The icon in the Actions column opens a slide out menu where you can manually set the expiry date for a learner’s completion.
An LX will be marked as “expired” after this date and must be completed again to be marked as “complete”. Depending on how the LX is set up, this may also reset the learner’s enrolment, prompting them to retake the LX.
Requests
The Requests page provides managers with an overview of learning requests from their team members.
The manager can then decide whether to approve or reject the request. If rejecting the request, the manager can include a reason as to why this is being rejected.
Sign-off
The sign-off page allows you to sign off LXs that have been designated as “manager sign-off”. To find out more about how to set these LXs up, see the Learning Experiences user guide.
