Prerequisites: This plugin is not enabled by default. If you need it to be turned on, please contact our support team.
Extension requests can be made by Learners when they are approaching their due date on either Program or Certifications. These extension requests are sent directly to the Manager that is listed on the user's job assignment, these requests can not be configured to go to the Site Manager.
How is this enabled?
To enable the ability for Learners to request an extension, it can be enabled against any Program or Certification on the LMS. The setting is found in the Details tab of both the Program & Certification.
This can be disabled by unticking this tick box if it is not required on the Program or Certification being created. Please note, this option is enabled by default
What does it look like?
When a user approaches their due date, when they visit the Program or Certification they will be presented with a screen that looks like the below:
The user will be able to see the date on which they were assigned the Program and then if they wish to request an extension they can click on 'Request an extension'. Please note, that a due date needs to be set for the user for them to have this option.
If the user clicks to request an extension, they will be shown a pop-up screen that will ask them for a date and time that they would like their extension to be for (their new due date) and also asked to provide a reason for requesting an extension.
Once the user has completed the pop-up and clicked Ok, a green banner will appear at the top of the screen informing them that their request has been sent to their Manager.
How are Managers notified?
Once a Learner clicks to request an extension a notification is sent to the Manager via email to advise them that their direct report has requested an extension. The email would look something like the below:
Once the Manager clicks the link, they will be taken to the LMS and will be asked if they wish to Grant or Deny the direct report's request. The Manager can also add a note onto this if they wish.
If the Manager then updates all Extensions they will receive an update to advise if they have been successful:
If a Manager grants or denies a user extension request, the user will receive an email directly to advise them of such:

Note, the above emails do have customisation added to them. Find out more here.
Can the email be customised?
Yes, the emails that are sent for the extension requests can be customised using the Language strings on the LMS. More information can be found here.
