To report on Events within Analytics, you must use the Learning Platform data model (LP Platform Analytics).
Analytics allows you to consolidate all Session Sign-ups into a single table report. This provides a clear overview of who has registered for each session, along with relevant event and schedule information.
Reports can also be scheduled to automatically email selected recipients at a specified date and time, ensuring stakeholders stay informed without manually running the report.
Example Report
A typical Session Sign-Up report can contain the following columns (with the option to add further information if required):
- Event Name
- Schedule Name
- Session Name
- Session Start Date & Time
- Session End Date & Time
- User Full Name
- Date of Sign-Up
Building the Report
1 - Add a Table Widget.
Start by creating a Table widget (or Pivot table) within Analytics. This will display all session-sign-up data in a structured table format.
2 - Add Event Structure Fields
Event Name - this identifies the parent level.
Schedule Name - Schedules sit within the Event and contain Sessions.
Session Name - The individual Session that users register for. Note if your Event, Schedule, and Session share the same name you may choose to include only the Session Name field.
3 - Add Session Date and Time
Next, you will want to include timing fields to clearly identify the exact session a user is registered for.
Session Start Date and Time
Session End Date and Time
Analytics may automatically display date and time in the format MM/DD/YYYY HH:MM. If required, you can adjust this to match your preferred regional or organisational format.
Now that the overall Event information has been added to the Widget, user information such as the users Full Name can be added (additional data about the user can also be added).
4 - Add User Information
Once the session information is in place, add user data to identify who has registered.
User Full Name
Additional user fields can be included if needed.
5 - Add Sign-Up Information
Finally, add the date the user registered for the session.
Date of Sign-Up
This completes the basic session sign-up reporting structure.
6 - Optional Fields.
You can expand this report with additional data fields, including;
- Session Sign-Up Status – Indicates if the registration is active or cancelled
- Learner Notes – Displays notes added by the learner (if enabled)
- Cancellation Reason – Shows the reason provided by the user when cancelling
- Room Information – Physical room details or session link
Scheduling the Report
Analytics allows you to schedule this report to be automatically emailed to selected recipients.
Scheduling ensures stakeholders remain up to date with recent session registrations without needing to manually run the report.
