To report on Events within Analytics, you must use the Learning Platform data model (LP Platform Analytics).
Analytics can be used to create reports that display upcoming event sessions and their sign-up activity. These reports can support internal monitoring or be shared through scheduled reports.
To report on Events within Analytics, the LP Platform Analytics (Learning Platform data model) must be used.
Two common reporting approaches are:
- Detailed session view – shows individual users who have signed up.
- High-level session overview – shows total sign-ups per status for each session.
Both approaches use Pivot Table widgets built from standard fields in the data model.
Example Report Types
1. Detailed Session Sign-Up Report
This report displays session information alongside individual user sign-ups.
Typical fields used:
- Event Name
- Schedule Name
- Session Name
- Session Start Date
- Session End Date
- User Full Name
- Session Sign-Up Date
This format is useful when you need to:
- View who has signed up
- Track when users registered
- Export participant lists
2. High-Level Session Status Overview
This report provides a summary of sign-ups by status per session.
Example statuses included:
- Sign-Up Registered
- Sign-Up Approved
- Waitlisted
- User Cancelled
This type of report helps administrators quickly understand overall attendance and capacity levels.
Building the Pivot Table
Both reports use the same base fields from the data model:
- Event Name
- Schedule Name
- Session Name
- Session Start Date
- Session End Date
The difference lies in additional pivot table configuration.
Adding Values to Count Sign-Ups
To show how many users have signed up for each session:
- Add Session Sign-Ups to the Values section of the Pivot widget.
- Set the aggregation to Count.
This will display the total number of sign-ups per session.
Note, only sessions with at least one sign-up will appear in the report. However, this total will include all statuses, including cancellations.
Splitting Results by Sign-Up Status
To create a clearer breakdown of session activity:
- Add Sign-Up Status to the Columns section of the Pivot widget.
- Keep Session Sign-Ups in Values.
This splits the total sign-ups into separate columns per status, providing a more accurate overview.
Benefits include:
- Understanding confirmed vs cancelled attendance
- Identifying sessions at risk of low attendance
- Supporting session planning and resource allocation
Sign- Up Status Definitions
- Sign-Up Registered - The user registered themselves for the session
- Sign-Up Approved - An administrator registered the user
- User Cancelled - The user cancelled their own registration
- Sign-Up Cancelled by Administrator - An administrator cancelled the user's registration
- Schedule Cancelled - The schedule (and all sessions within it) was cancelled by an administrator
- Waitlist - The session capacity has been exceeded and users are placed on a waitlist
Note: Unnecessary statuses can be filtered out if they are not relevant to the report.
Identifying Upcoming Sessions
To focus the report on future sessions, apply a filter using Session Start Date.
This filter can be applied at:
- Widget level, or
- Dashboard level
Common Date Filter Options
1 - Filter by Time Period
Use when reporting on sessions within a specific timeframe such as:
- Year
- Month
- Week
- Quarter
Example: Show all sessions occurring in 2026.
2 - Relative Date Range (e.g., Next 6 Weeks)
Use this option to monitor sessions occurring within a rolling timeframe.
Example configurations:
- Next 3 weeks
- Next 6 weeks
- Last 4 weeks
Optional setting:
- Include Current Period – includes sessions occurring during the current week.
The filter preview will display the exact date range being applied.
3 - Specific Date Range
Use when reporting between fixed dates.
Example:
- 1 Jan 2026 – 31 Mar 2026
4 - Excluding Specific Dates or Periods
Filters can also exclude certain periods such as:
- Specific months
- Specific years
- Individual days
This is useful for:
- Removing historical sessions
- Excluding seasonal periods
- Filtering out archived data
Final Result
Once the filter is applied, the widget will automatically display:
- Sessions occurring within the selected timeframe
- Sign-up totals per session
- A breakdown by sign-up status (if configured)
This enables administrators to monitor upcoming sessions and attendance levels in advance.
