'Rooms' represent the physical spaces where your in-person training sessions will take place. You can create, edit, and delete rooms, and each room can have its own capacity which can be used to help manage session bookings.
Creating a Room
This functionality requires the 'Events' service to be enabled on your platform.
- Navigate to Events in the admin and click 'Rooms' in the left-hand navigation
- Click the 'Create New Room' button
- Fill out the form, making sure to complete the required fields
- Click the 'Create' button
- The room is now created and will be visible on the main 'Rooms' page
Editing a Room
To edit a room, simply click on the edit icon next to the room you wish to edit.
Please note: If you edit a room that is already assigned to an upcoming or active session, this will count as a session change and will automatically trigger a notification email to all learners booked onto that session.
Deleting a Room
You can delete a room by clicking on the delete icon next to it. This action cannot be undone. If the room was assigned to a session that has already passed, the room details will still be visible on that session's page for reporting purposes.
Rooms that are in use in at least one Session cannot be deleted. They must be removed from all Sessions before being deleted.
Assigning a Room to a Session
Once a room has been created, you can assign it to a session. Navigate to the session you wish to assign a room to and find the 'Type & Location' area. If the session type is set to 'In-person' or 'Hybrid', a 'Room' field will be visible. Click on this field to select from your list of created rooms.
Please note:
- You must create your rooms before you create the session you want to assign them to. It is not currently possible to create a new room from within the session creation form.
- You will not be able to select a room if it is currently in use by another active session.
