Once you have created your main 'Event', the next step is to create one or more 'Schedules'. 'Schedules' are used to group the individual 'Sessions' your learners will attend. You can use 'Schedules' to differentiate between things like locations, dates, or specific groups of learners.
When a learner signs up for a 'Schedule', they are automatically given access to all of the 'Sessions' contained within it.

Creating a Schedule
Before you start, you must have already created an 'Event' for the 'Schedule' to live in.
To create a new schedule, please follow these steps:
- Click on the created Event
- Click on the 'Create New Schedule' button
- Complete the form, making sure to complete the required fields
- Click the create button
- The newly created schedule is now visible within the event
Learner notes
If you toggle the 'Allow learners to add notes during sign-up' setting on, the learners will be able to leave a note at the time of registration sign-up. The notes are then displayed on the Schedules Sign-up Report and also in the 'Notes' column on the 'Manage Attendees' sections of the session detail page:
Editing a Schedule
Once a 'Schedule' has been created, you can edit it in two ways:
- Using the edit icon on the schedule tile itself
- Clicking on the schedule title and clicking the 'Edit Schedule' button
Archiving a Schedule
If a 'Schedule' is no longer needed, you can archive it. This is a great way to keep your active events tidy while preserving all the data for reporting purposes.
To archive a 'Schedule', simply click the 'Archive' icon on the schedule tile. You will be asked to enter a cancellation note for your records. Once you confirm, the 'Schedule' will be archived.
Please note:
- This action cannot be undone.
- Archiving a 'Schedule' will also cancel any upcoming or active sessions within it.
- All data relating to the 'Schedule' and its 'Sessions', including attendee information, will be kept for reporting and completion records.
- Archived 'Schedules' can be found in the 'Archived Schedules' section within the main 'Event'.
You cannot permanently delete a 'Schedule' from the Events system. The only way a 'Schedule' is removed completely is if the main 'Event' it belongs to is deleted from the resource library.
Unenrolment from a Learning Experience that uses an Event and a learner has registered for a Schedule
When a learner is enrolled on to a learning experience which uses an Event as an object resource, and the user has signed up to a Schedule with a start date in the future, when the learner is unenrolled from the LX by any means, their registration for the Schedule within the event will be removed.
If the event is used in multiple learning experiences and a learner is enrolled in more than one of these learning experiences, when the learner is unenrolled from any of the associated LX’s by any means their registration for the Schedule within the event will be removed.
